Executive Secretary

The Executive Secretary provides direct support to the CEO, CTO and CFO. This role ensures smooth functioning of the executive office, managing schedules, coordinating governance processes, and handling sensitive information with discretion.

Job Description

  • Provide direct executive support to the CEO, CTO, and CFO, including agenda management, scheduling, and coordination of internal and external meetings.
  • Draft, review, and manage professional correspondence, such as executive and legal letters, contracts, board documentation, and Minutes of Meetings (MoM).
  • Support the organization and follow-up on board of directors and shareholder meetings, ensuring compliance with governance requirements and best practices.
  • Coordinate legal and compliance processes in collaboration with internal and external stakeholders.
  • Interpret and analyze corporate documents, including articles of association, and advise on implications where relevant.
  • Manage priorities, communications, and scheduling for senior executives, ensuring timely and efficient decision-making.
  • Maintain high standards of confidentiality, accuracy, and professionalism in all matters.
  • Handle general executive support tasks as needed, such as travel arrangements, expense reporting, and document/file management.

Requirements

  • BSc degree in Law (or equivalent combination of education and experience).
  • Minimum of 5 years of relevant experience as an Executive Secretary, Corporate Secretary, Junior Legal Counsel, or Office Manager.
  • Experience with coordinating legal, compliance and corporate administrative processes.
  • Solid understanding of Corporate Governance practices with interest in developing further expertise in this area.
  • Excellent professional writing skills in English and Dutch. Good command of Papiamento and Spanish required.
  • Strong organizational and time management skills, with the ability to set priorities and manage multiple tasks effectively. 
  • Service minded with a pro-active and solution-oriented approach.
  • Strong digital proficiency (including MS Office).
  • High level of confidentiality and discretion in handling sensitive information.
