Job Description
The Office Assistant will serve as the first point of contact for incoming calls and emails and will be responsible for performing a variety of clerical and logistical tasks to ensure the smooth daily operations of the office.
Responsibilities include:
- Supporting the team with day-to-day tasks, including scheduling meetings, managing correspondence, and overseeing office supplies.
- Greeting visitors and managing incoming calls and emails, directing inquiries to the appropriate team member.
- Set-up meeting and training rooms, arrange necessary training materials, replenish supplies, prepare refreshments and ensure a comfortable environment for participants.
- Distributing internal communications, handle correspondence, and liaise with staff and external clients.
- Conducting due diligence activities for business clients, including reviewing and verifying necessary documents to ensure compliance with legal requirements.
- Assisting in expense tracking and processing invoices.
- Maintaining confidentiality of sensitive client and company information.
Requirements
- EPI diploma (All-round Assistant Business Services) or equivalent; additional qualifications in Office Administration or related fields are a plus.
- At least 3 years’ experience in an office setting or administrative role.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills in English, Dutch and Papiamento.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to work both independently and collaboratively as part of a team.
- Attention to detail and problem-solving skills.
- Ability to handle sensitive information with discretion.
