We are looking for an experienced and hands-on Management Assistant who provides high-level administrative and organizational support to the Director and the Management Team.
As Management Assistant, you play a key role in keeping management activities organized and on track. You prepare meetings, manage documentation, follow up on actions and deadlines, and coordinate management support activities effectively.
  • Prepare meetings, including agendas, supporting documents, and relevant background information.
  • Attend meetings and prepare clear and accurate minutes and action lists.
  • Monitor agreed actions and deadlines and follow up with the responsible parties as needed.
  • Draft and review professional letters, emails, memos, and other formal correspondence, including documentation of a legal or formal nature.
  • Ensure management documentation is complete, accurate, well organized, and readily available when required.
  • Coordinate the timely receipt and distribution of minutes and documentation related to the Supervisory Board, in collaboration with the responsible secretary.
  • Coordinate activities within the management support function and monitor the quality and timely completion of tasks.
  • Serve as a professional point of contact for employees, the Supervisory Board, and external stakeholders.
  • Handle confidential and sensitive information with the appropriate level of discretion.
  • Identify matters requiring attention and escalate them to the Director when appropriate.
  • Preferably a degree in Organization, Governance and Management (OGM), or a related field.
  • Relevant experience as a Management Assistant, Legal Assistant or in a comparable support position.
  • Experience with formal and legal correspondence is an advantage.
  • Strong command of Microsoft Office, particularly Outlook, Word, PowerPoint and Teams.
  • Strong written and verbal communication skills in English, Dutch, Papiamento and Spanish.
  • Strong organizational skills with the ability to maintain oversight of priorities and deadlines.
  • Professional, accurate and service-oriented working style.
  • Able to work independently, take ownership and follow through on responsibilities.
  • Comfortable handling confidential and sensitive information.
  • Flexible and able to respond effectively to changing priorities and urgent requests.
